This policy explains what we do with the personal information you give us when you enquire about or book a tour with Pink City Trails. We have written it in plain English rather than legal boilerplate, because most of our travellers are reading it in their second or third language.

Who we are
Pink City Trails is a tour operator based in Jaipur, Rajasthan, India, owned and operated by Jahid Khan. Our office is at 121 Hussain Colony, Beniwal Kanta, behind the petrol pump, Ramgarh Mode, Jaipur 302002, Rajasthan, India. We are the data controller for the information described below. We are a small team, so your email about your data will be read by a person, not a ticketing system.
What we collect
When you book or enquire, we ask for:
- Your name — so your guide knows who to meet.
- Email address — to send your confirmation and any changes.
- Phone or WhatsApp number — so the driver can reach you on the day.
- Your hotel or pickup address in India — to plan the pickup.
- Number of travellers and your tour date — to allocate a guide and a vehicle.
- Anything you tell us voluntarily — dietary needs, mobility needs, languages, a birthday you want us to know about.
We also collect basic technical information automatically: your IP address, browser type, the pages you visited on this site, and the approximate country you visited from. This comes from our server logs and, if you accept them, our analytics cookies.
We do not collect or store card numbers. At the moment there is no online payment on this website at all — you pay your guide directly at the end of the tour.
Why we use it, and our legal basis
- To deliver the tour you booked — this is performance of a contract with you.
- To answer your enquiry — this is our legitimate interest in responding to someone who contacted us.
- To meet Indian tax and tourism record-keeping requirements — this is a legal obligation.
- To send you occasional travel tips or offers — only if you ticked the box asking for them. You can unsubscribe from any email we send.
- To keep the website working and secure — our legitimate interest.
We never sell your data, and we do not share it with advertising networks.
Who sees your information
- Your guide and driver — they get your name, phone number, pickup point and tour details. Nothing else.
- Monument and activity partners — where a ticket has to be issued in your name, we pass on only what the ticket requires.
- Our hosting and email providers — they process data on our instructions in order to run the website and send confirmations.
- Government authorities — only where Indian law requires it, for example a police or tax request.
Where your data goes
We are an Indian company and your information is stored on servers in India. If you are in the United Kingdom or the European Economic Area, this means your data is transferred outside your home jurisdiction. We rely on your explicit consent and on the necessity of the transfer for performing your booking contract. In practice, the only data that travels is what is needed to run your tour.
How long we keep it
- Enquiries that do not become bookings — 12 months, then deleted.
- Completed bookings — 8 years, because Indian tax rules require us to keep transaction records.
- Marketing consents — until you withdraw them.
- Server logs — 30 days.
Your rights
Wherever you live, you can ask us to show you the data we hold about you, correct it, delete it, or stop using it for marketing. If you are covered by the UK GDPR or EU GDPR you also have the right to data portability, to object to processing based on legitimate interests, and to complain to your national data protection authority.
Write to us through our contact page with your request. We will reply within 30 days. We may ask you to confirm your booking reference so that we do not hand your information to someone else.
Cookies
This site uses a small number of cookies. Some are essential — they remember what is in your booking basket and keep the site secure. Others are optional and only load if you accept them; these tell us which pages travellers actually read so we can write better ones. You can refuse the optional cookies and the site will work exactly the same.
You can also clear or block cookies in your browser settings at any time.
Children
Our tours are open to families, and children travel with us often. However, we take booking details from adults only. We do not knowingly collect personal information directly from anyone under 16. If you believe a child has sent us their details, write to us through our contact page and we will delete them.
Changes to this policy
If we change how we handle your data, we will update this page and change the date at the top. If the change is significant and you have an upcoming booking, we will email you.
What the enquiry and booking forms keep
When you send an enquiry we keep your name, email address, phone number if you give it, your travel dates, the size of your party and your message. When you send a booking request we also keep the tour, date, pickup point, guide language and any notes. We use these only to answer you and to run your tour. They are stored on our website and in our email, are never sold or shared for marketing, and are deleted on request. No card details are collected by this website.
